Job Description 

Responsible for managing budgets, assisting in controlling costs and the administration of a large multi-year capital project.  The person in this position will work closely with Mejer Gardens staff, volunteers, and outside vendors to gather and maintain records to perform accounting duties on all aspects of the capital project.  Further responsibilities include financial management of project contracts and charge orders, application of payments, purchase orders, bulletins and addendums and review and processing of release of liens, general ledger, job cost, monthly reports, and financial analyses.

Duties & Responsibilities 

Project Accounting:

  • Documentation of construction payables, initial project coding set up, validation of contracted work payments, and reconciliation of applications for payment retainage and change orders
  • Maintenance of job cost chart of accounts including review of job cost activity ensuring consistent and proper coding
  • Monthly financial project report
  • Assist in the preparation of cash flow reports and other financial reports
  • Reconciliation of all donor gifts between general ledger and donor database
  • Ongoing documentation and reconciliation of fixed assets
  • Assist with the other financial duties of the department


  • Track and document all contractors and sub-contractors present daily
  • Understanding of insurance requirements and compliance
  • Under the direction of VP of Fixed Operations and Facilities, physically inspect the construction sites for safety, security, compliance, and guest-centric issues.


  • Attend and assist in scheduling construction progress meetings and maintain meeting and maintain meeting notes and follow-up reports
  • Assist with obtaining paperwork required from vendors/contractors
  • Assist in developing an archive retention plan with the Librarian and Archivist and the Director of Communication

Education and Experience

Education and/or qualifications preferred:

Education: Bachelor's degree in Accounting or related field or related experience

Experience: Five years general accounting experience.  Preferred three to five years' experience in construction accounting.

Specific Skills: Strong knowledge and application of Generally Accepted Accounting Principles.  Knowledge of basic construction practices and/related accounting principles and functions.  Ability to access and accurately input information into accounting system; preferably Financial Edge.  Strong analytical pressure in meeting deadlines.  Excellent organizations skills.  Proficient with Microsoft Excel, Word, and Outlook.  Proficient in financial accounting applications.  Some travel and the ability to work overtime as business needs require.
